Information Technology Projects
As part of the Technologies division of Bergen Community College, The Office of Information Technology strives to enable the College to achieve its institutional goals through the effective use of technology.
All requests for new technology projects are received by the Office of Information Technologies through a standard Technologies Project Request Form. All submitted proposals will be evaluated for approval and prioritization based on the following criteria:
- Alignment with current Technology Strategic Plan
- Alignment with Bergen Community College Strategic Plan
- Alignment with current technology infrastructure and standards
- Interoperability with existing technology and technology standards
- Ease of adoption into current network and security infrastructure
- Availability of IT resources for short term and long term support
- Alignment with existing IT project schedule
- Budget Status
- Availability of funding based on funding source and schedule
- Impact on existing IT projects based on funding source and schedule
- Recurring support and lifecycle costs
- Risk (Maturity of product or technology, availability of support and services)
A list of current Information Technology projects will soon be available (expected November 2007) through our BCC SharePoint Intranet site.
The Technologies Project Request Form will provide the Office of Information Technology the information necessary to properly evaluate requests for technology projects. This form must be submitted for any project requiring implementation services, technical support, or funding by the Office of Information Technology. A description of the required information that comprises the standard Information Technology Project Template is found below. Questions regarding the form or related processes can be sent to technologies@bergen.edu.
Project Name
A name that uniquely identifies the proposed project
Proposal Date
The date project proposal was received by the Technologies Department
Project Type
Project is categorized into one of the following categories
§ Utility – Required investments that are necessary to maintain current levels of service or functionality. (ex. Lifecycle upgrade)
§ Enhancement – Investments designed to improve performance of existing processes through technology. (ex. Introduction of workflow products to existing Datatel or document management functions)
§ Frontier – New projects designed to meet emerging business needs (introduction of email archiving solution)
Description
A brief description of the proposed project and its goals
Leads
Identification of those individuals that will play a leadership role in the selection and implementation of the requested technology or product
Timeline
An indication of recommended timeframe for execution of this project
Priority
An indication of the project’s priority. Priorities are identified as follows:
Low
Technology proposal is submitted without strict timelines. Expected benefits are documented, but are not critical or will not be immediately realized. A low priority indicates that the project timeline may be modified as necessary without compromising the project’s success.
Normal
Project benefits are clear and included in the proposal. Project should be considered for execution based on the recommended timeline. Deviation from the timeline may compromise the project’s success.
High
Project is considered urgent and no deviation from the timeline indicated should be considered in order to ensure success. Justification for this high priority status is clearly indicated in the proposal.
Project Goals
Expected goals of the project must be clearly defined. Goals should identify:
Project deliverables
Areas affected
Expected benefits (short term and long term)
Measurable indications of project completion/success
Budget
The estimated cost of the project, including:
Initial implementation cost
Lifecycle replacement costs, if applicable
Support and Upgrade costs
Cost of additional resources needed to implement or support related technologies
