The Department of Registration and Student Information Services structures our students academic experiences at Bergen Community College in order to create their records. We start building a students record by first registering that student for courses. We either have the record on file from the Admissions Department, or we create it ourselves in the case of nondegree-seeking students. Students register on Web Advisor or in person at our service windows. Adjustments to the students schedule can be made in the same way up until the second week of instruction. We continuously update information, such as name, address, email, and change of major, to ensure accuracy of each students record. We have so many forms for these changes because we cannot adjust a students record without written permission. The next part in building a students record is through recording grades, including withdrawals and audits. Our department interacts with the faculty by distributing grade and attendance rosters, and then collecting the grades at the end of each semester so that we can record them into each students record. We also process change-of-grade requests submitted by faculty. The last major part in building a student record is graduation. When a student applies for graduation, we analyze the program to see if all the requirements have been met. If any adjustments are called for, we make changes to the students program requirement, allowing the substituted courses to fit in. Finally, we actually graduate those students who have completed their programs and distribute their diplomas. A student must give his or her written permission to release any part of their record. In each case, by the students written request, we are able to send transcripts or letters of verification. We also transmit information to government and other agencies in order to process information related to student loans and financial aid. Of course, we cannot build student records without students, and we are here to help our students with whatever questions and concerns they may have. In whatever way a student feels most comfortable communicating, whether by email, on the phone, or in person, we are available to resolve any issues and assist our students in achieving their educational goals.
